How to Write a Professional IVR Script
A good IVR script helps callers understand where they are, what to do next and what will happen after they make a choice. This guide shows you how to plan one before it is recorded.

Start with the caller's journey
Before writing polished words, sketch the route a caller should take. List the main reasons people phone, the team responsible for each one, and what should happen if nobody answers. Your menu should reflect real caller needs rather than your internal company structure.
Put the most common options first. If most callers need Sales, Accounts or Support, lead with those. Keep the main menu short; a caller should not have to remember a long list before making a choice.
Write a clear welcome and short menu
Open by naming the business so callers know they reached the right place. Avoid a long slogan, web address or list of services before the options begin. Then use direct, natural instructions: “For Sales, press 1” is easier to follow than a formal sentence packed with extra words.
Set the right expectations
Tell callers what will happen next when it is not obvious. If a queue is busy, a department is closed or a voicemail will be taken, say so plainly. Give an honest next step rather than leaving the caller listening in uncertainty.

“For Sales, press 1.”
“For Accounts, press 2.”
“For technical support, press 3.”
“To speak to reception, press 0.”
Each line is brief, each option begins with the caller's need, and reception remains available for anyone unsure where to go.
Plan after-hours and exceptional messages
An after-hours prompt should confirm that the business is closed, give normal opening hours, and explain the next useful action. If callers can leave a message, say when they can expect a response. Prepare separate public-holiday or temporary closure prompts so the normal greeting does not need to be rewritten each time.
Avoid repeating the company name and the same instruction in every branch. Repeat only what helps callers recover, such as how to return to the main menu. Message On Hold is different from an IVR menu or standard Studio Recording: TrueVoice manages it specifically with the Signature package.
Test the flow before recording
Read the complete journey aloud and time it. Ask someone unfamiliar with the menu to find Sales, report an account query and reach reception. If they hesitate, the wording or menu structure needs work. Also test transfers, unanswered calls, voicemail and the after-hours route in the actual PBX, PABX or VoIP system.
Keep one dated master script after launch. Review it whenever teams, extensions, office hours or processes change. An accurate short menu is more professional than an elaborate recording that sends callers to the wrong place.
Prepare your IVR script for recording
Give every prompt a clear filename or number, and place the exact spoken words next to it. Add pronunciation notes for personal names, acronyms and place names. Mark the language and intended tone, but avoid directing every pause and emphasis — a professional voice artist still needs room to make the delivery sound natural.
- Confirm every destination and extension before writing.
- Read every prompt aloud at a calm, natural pace.
- Test the menu with someone who does not know your business.
- Mark names, acronyms and South African place names that need pronunciation guidance.
- Supply each prompt as a separately named item for recording.
